User Count Not Updating After Reducing Protected Users

Thank you for taking steps to bring your account back within the free tier. After modifying your backup job to exclude users, you may notice that your protected user count in the VMOBACKUP.COM portal has not immediately decreased. This is expected behavior and is explained below. 

Why does this happen?

VMOBACKUP.COM uses Veeam as its underlying backup engine. Veeam’s licensing system holds a user’s license slot for 30 days after that user is removed from a backup job. This is a standard Veeam platform behavior and applies to all accounts regardless of plan type.  Until those 30 days have elapsed, the removed users will continue to count toward your total, even though they are no longer actively being backed up. 

What to Expect: 30-Day Release Timeline  #

Once you have saved your updated backup job with the user exclusions in place, the following process occurs automatically: 

Timeframe What Happens 
Day 0 You reduce the number of backed-up users in your backup job. 
Days 1–30 Veeam licensing retains the prior user count during the 30-day release window. Your user count in the portal may still appear elevated. 
Day 31Veeam releases the licenses for the removed users. Your user countupdates automatically. 
After Day 31If your count is now at or below 10 users, your account returns to the free tier with no further action needed. 

Your 30-Day Grace Period  #

No immediate action required on your part. 

We understand that the 30-day Veeam release window is outside of your control. For this reason, VMOBACKUP.COM provides all customers a 30-day grace period from the date you were notified of an overage. 

As long as you have already modified your backup job to reduce your user count, your account will not be suspended or charged during this grace period. Your user count will update automatically once Veeam releases the license slots. 

How to Verify Your Changes Were Applied  #

To confirm that your backup job exclusions have been saved correctly: 

  • Log in to your VMOBACKUP.COM account. 
  • Navigate to Backup Jobs and open the relevant job. 
  • Review the Exclusions section to confirm the users you removed are listed. 
  • Check that the job status shows your intended configuration has been saved. 

If the exclusions are correctly reflected in your backup job settings, no further action is needed. The user count in your portal dashboard will update automatically after 30 days. 

Using the User License Report  #

For a more detailed view of your current user protection status, you can run the User License Report: 

  • In the portal, go to the Reports menu. 
  • Select User License Report
  • Review the report, which lists all users along with the date of their last backup. 

This report gives you two quick ways to confirm your exclusions are working: 

  • Users you have excluded will not show a recent backup date — their last backup date will be older than your actively protected users. 
  • You can count the users with a current backup date to verify the total number of actively protected users matches your expectations. 

Tip: Use this report as your source of truth

Even while Veeam’s 30-day license release window is in progress, the User License Report accurately shows which users are actively being backed up versus those who have been excluded. If an excluded user shows no recent backup date, your job change was applied successfully. 

Still Seeing an Unexpected User Count After 30 Days?  #

If more than 30 days have passed since you modified your backup job and your user count still appears elevated, please contact our support team. This may indicate one of the following: 

  • The backup job exclusions were not saved correctly. 
  • A secondary backup job is still covering the users you intended to remove. 
  • A system sync issue that our team can resolve for you.
